What is SMM?

Sharper Marina Management System is a comprehensive, modular software platform designed to manage every aspect of marina operations — from dock bookings and vessel tracking to CRM, accounting, and POS.

Built through our long-term collaboration with the Sharper team, the system now supports over 40 marinas across the US, processing more than $100 million in annual transactions. Its flexible structure allows marinas to manage daily operations, automate routine tasks, and scale across multiple sites without switching between tools.

Every module — Marina, CRM, POS, Accounting, Hotels, and more — connects within one unified dashboard, giving teams real-time control and clarity. What started as a joint idea between two teams has evolved into one of the most adaptable marina management solutions on the market today.

The Foundation: Shaping Sharper, Line by Line

Once the idea took shape, we moved straight into building — real development, real testing. Together with the Sharper team, we studied how marinas actually operate and turned their daily routines into one connected system.

We structured it from the ground up:

  • Marina module: The core — live berth maps, reservations, vessels, and meter readings.

  • CRM and Billing: Complete customer view — transactions, invoices, and refunds all in one place.

  • POS system: Designed for both dock offices and on-site restaurants, syncing automatically with accounting.

  • Internal API layer: Makes future modules like hotels or campgrounds plug in easily without disrupting existing data.

The Solution: Building a Unified, Scalable System from the Ground Up

We structured it from the ground up:

1. Modular Architecture for Flexibility and Growth

Every marina has a different structure. Some focus on long-term berth rentals and storage, while others handle transient visitors, on-site restaurants, or even resort facilities. To accommodate this diversity, we built Sharper as a modular system.

Each module functions independently but communicates seamlessly with the others:

  • Marina Management Module: The core of the system. Provides a real-time dock map, berth availability tracker, vessel registry, meter readings, and product management for supplies and services. Color-coded occupancy views give teams instant clarity on which berths are reserved, vacant, or due for turnover.

  • CRM & Billing Module: Manages customer information, invoicing, transactions, and refunds — eliminating repetitive manual entries. Each interaction is logged, giving managers a complete relationship history with every client.

  • Point of Sale (POS) Module: Designed for marinas that operate multiple revenue centers — from fuel docks to retail shops and restaurants. It synchronizes sales, tax data, and inventory instantly with the accounting backend.

  • Hotel & Campground Module: Extends the same management logic to onshore hospitality operations for marinas with mixed-use facilities.

  • Analytics & Reporting Module: Collects key performance data from all other modules, providing dashboards and exportable reports for occupancy, revenue, and customer trends.

This modular approach means marinas can start small — implementing only what they need — and expand features later without any downtime or code rewrites.

2. Unified Data Flow Through Seamless Integrations

A marina’s success depends on data accuracy. Most operators use at least three external systems — one for accounting, one for reservations, and one for POS. Our task was to connect all those pieces into a single, synchronized environment.

Weptile built Sharper’s backend with a robust API layer, allowing for easy integration with external software such as QuickBooks, Xero, and other accounting tools. All financial, CRM, and operational data flows into a single source of truth.

The result is a real-time ecosystem where:

  • Reservations automatically trigger billing and POS updates.

  • Payments update customer records instantly.

  • Management reports combine data from every department without manual export.

This eliminated the most common pain point marina teams reported: inconsistent numbers between different systems.

3. Cloud-Based Scalability and Reliability

We engineered Sharper as a cloud-based marina management software to ensure reliability, speed, and accessibility — regardless of marina size or location.

  • Multi-location Management: Operators who manage several marinas can oversee them all from one dashboard, switching between properties with a single click.

  • Automatic Updates: New modules, bug fixes, and performance improvements are deployed instantly to all users.

  • Scalable Architecture: The system effortlessly supports growing transaction volumes and new users as more marinas join the network.

  • Built-in Security: All sensitive data (payment details, vessel information, customer records) is protected through SSL encryption, role-based permissions, and redundant backups.

This cloud-first infrastructure ensures that marina operations remain smooth even during high-traffic periods — such as peak boating season or major regattas — without lag or downtime.

4. Automation That Reduces Workload

Sharper’s design philosophy was simple: If a process can be automated, it should be.
Through workflow automation, marinas can now:

  • Auto-confirm bookings and send receipts instantly.

  • Update berth maps automatically upon check-in or check-out.

  • Schedule meter readings or maintenance reminders.

  • Generate recurring invoices without manual input.

  • Receive instant alerts for overdue payments or occupancy limits.

These features collectively save marina teams dozens of staff hours each month, while also minimizing the human errors that often lead to financial discrepancies.

5. User Experience Designed for the Docks

We spent months refining the interface to ensure it fit seamlessly into the daily rhythm of marina work. Staff shouldn’t have to dig through nested menus to find simple data.

The left-hand panel gives quick access to core operations — Accounting, Commercial, CRM, Hotels, Marina, and POS — while color-coded maps and dynamic dashboards make complex data instantly readable.

For example, the Marina Map View uses real aerial imagery with live occupancy indicators. Each berth is color-coded by status (reserved, occupied, overdue, or available), and managers can toggle between occupancy and account balance views to spot issues immediately.

This design philosophy turns information into action. Instead of searching for data, marina teams can react and make decisions in real time.

6. Reporting, Analytics, and Decision Support

A modern marina doesn’t just need management — it needs insights.
Sharper’s built-in analytics module gives operators a 360° view of performance:

  • Occupancy and availability reports.

  • Revenue breakdown by service type (berthing, fuel, POS sales).

  • Customer retention and behavior analytics from the CRM.

  • Historical comparisons for seasonal trend forecasting.

These reports can be exported to Excel, shared with stakeholders, or scheduled for automatic delivery — providing continuous visibility into business health without manual tracking.

7. Future-Proofing Through Iteration

The system wasn’t built once and left to age. Since launch, Weptile’s development team continues to enhance Sharper through iterative updates. Seven major modules have already been deployed, each refined through user feedback and real-world use.

This ongoing development approach keeps the marina management system ahead of industry needs — ready for new integrations, new data analytics tools, and evolving compliance requirements.
